What happens if I can’t come to camp anymore?

These terms are intended to ensure the financial viability of eCamp, now and in future, and to deal fairly with campers, their parents and church communities in the event of unforeseen cancellation, either by the camper or by eCamp itself. The same terms are referenced in the individual registration form.

Cancellation by Camper
If a camper, leader or worker cancels their registration ahead of camp, a $50 pull-out fee applies, irrespective of the cut-off period, the reason for cancellation or whether the church has received the payment. Note: registrations for children are exempt from the pull-out fee. No refund will be given for any cancellation notified after the final registration cut-off, being midnight of the Monday night preceding camp. No refund will be given for cancellation or withdrawal during a camp.

Cancellation by eCamp
If, at any time prior to eCamp, it is necessary to cancel or abandon camp for reasons outside of our control (for example, but not limited to; natural disaster, pandemic, disruption to essential supplies, or Government or local authority decree), the following terms will apply to fees paid or payable by individual campers.

  1. Fees will be retained to pay costs already committed or paid, or which will inevitably be required to be paid for the supply of goods or services for which eCamp is liable;
  2. Any funds in excess of the amounts necessary for eCamp to discharge its committed financial obligations will be returned to the person who made the payment either directly or on behalf of the individual camper;
  3. eCamp has the discretion to make fair and reasonable estimates of its fixed and committed costs in calculating a refund, if any;
  4. No refund is payable if cancellation or abandonment becomes necessary after camp has commenced, from 3pm on the Thursday before Good Friday, or at any time during camp;
  5.  eCamp will use its best endeavours to provide a refund in accordance with these terms as soon as practicable, but no time frame is specified;
  6.  These terms are also applicable to parents/caregivers, are outlined on the eCamp website and referenced in the individual camper and worker registration forms.
